Refund Policy:
All program, service, and membership sales are FINAL. Any request must be submitted prior to the program/activity/service.

Requests must meet one of the following provisions: relocations outside of Philadelphia County and the bordering counties of Pennsylvania and New Jersey, personal health reasons, family health reasons, termination of employment, or change in academic status with the University of Pennsylvania to receive partial funds. Additional documentation may be required in these circumstances.

Approved refunds are subject to prorating as well as processing fees. 

In the unlikely event that a program or activity is canceled or significantly altered, we will do our best to offer alternative options or provide credit toward a future program. However, this credit is also non-refundable and must be used within a specified period.

All approved refunds will be returned via the methods noted below:

Payments made by credit card will be refunded to the original card used at the time of payment and can take 10 - 15 business days to process.

Please Note: In the case of scheduled maintenance or unexpected issues that require our facility or any of its spaces to close (for any amount of time), we make every effort to provide advance notice to reduce any inconvenience. Please be aware that our policy does not include refunds of membership or general fees for such closures.

1. The locker fee is a final, non-transferrable and non-refundable transaction.
2. Lockers not cleared will have contents removed and articles kept for 30 days, after which they will be donated or put in the Quaker Closet. To reclaim items a $25.00 fee will be assessed.
3. If you cancel your membership you forfeit your locker.
 

Cancellation Policy

Monthly Installment Plans: must submit cancelation forms no later than the 20th of the month in your last month of membership to avoid future charges (Example: Jane Doe wants her membership to end April 30. Therefore, Jane must submit her cancelation request on or before April 20 to avoid being charged after April 30).

Immediate membership cancelation will be accepted only due to medical reasons, relocations outside of Philadelphia county and the bordering counties of Pennsylvania and New Jersey, personal health reasons, family health reasons, or termination of employment or change in academic status with the University of Pennsylvania to receive partial funds. Additional documentation may be required in these circumstances. If a member fails to abide by the policies outlined in the Membership User Agreement/Waiver, the membership may be suspended or canceled by management.

1. Personal Training packages expire 120 days from the date of purchase.
2. Pilates sessions are not refundable unless a medical form is presented with a request.
3. Group Ex Plus passes are non-refundable and non-transferable.

· Must be an active member of Pottruck Health and Fitness Center to book a Recovery Room reservation.

· Recovery Room reservations are non-refundable and non-transferable to another member.

· Guests are not allowed to join reservation. One person is allowed in each bay.

· If the member is late for a reservation, the patron will use the remaining time left. Sessions cannot extend beyond 30 minutes past scheduled start time.

· The member is responsible for any damaged or missing equipment.

· All equipment must be cleaned and put back properly after the session.

· Those deemed excessively sweaty or wet will not be allowed into their reservation.

· Consecutive reservations are allowed; however, member must vacate the room during the disinfection time.

· Member must wear headphones if listening to sound during reservation.

· All equipment must be used in the manner that it is intended to be used.

· Bags are not allowed in the Recovery Room at any time.

· No food or drinks, except for a closed water bottle is permitted.

• Penn Outdoor Adventure equipment rentals are available to all Penn community members. You must have a valid Penn ID to rent equipment. 

• Gear rental requests must be submitted via email to caeleyg@upenn.edu a minimum of two (2) business days before the desired pick-up date. All renters must present a valid Penn ID card at the time of pick-up. • After submitting a rental request form, renters will be contacted via email with availability, specific pickup and return hours and location. 

• Gear rental is for a maximum of fourteen (14) days. If Campus Recreation is closed on the day the gear is due, the renter will have two additional days to return rented gear. 

• Equipment rental reservations may be made in advance on a 1 st come 1 st served basis. Equipment availability is dependent upon prior reservations and needs of official Penn Outdoor Adventure scheduled programs. 

• Payment is required at the time of pick-up. Visit the Outdoor Adventure office to pick-up a finalized rental form to then pay in the Membership Services office of the Pottruck Fitness Center. 

• A late fee will be billed for any gear that is returned after the due date provided at the time of pick-up. Late fees will be the cost of a daily rental for each item for every day past the due date that the equipment is returned. 

• A $20 fee will be billed for any gear that is returned wet, dirty, or damaged. Any repair costs over $20 will be billed at the cost of materials and a $15 per hour labor fee. 

• For gear that is damaged beyond repair or is late and not returned within 14 days of the original due date, the renter will be charged the full retail value plus 10% for each item. Fees charged at the expiration of the 14-day period are non-refundable. 

• All equipment is being rented in "as-is" condition. Renters are responsible for checking equipment when renting to record any dirtiness, damage, or missing items. Renters are responsible for the condition of equipment once received. 

• An individual may not rent equipment for another person.
